Website privacy and analytics

This notice covers our public website. It explains the information used to deliver the site and your choice about optional analytics.

Who is responsible?

Creative Ways Taekwondo is responsible for decisions about information collected through this website. For a privacy question or request, contact the club on WhatsApp or use the contact details on our contact page.

This notice does not replace information provided when you book a trial, become a member or submit a welfare concern. Those activities can involve different information and purposes.

Using the website

The public website is hosted by Cloudflare Pages. Like other hosting services, Cloudflare receives technical connection information, including your IP address, when delivering pages and protecting the service. Our purpose is to provide a working, secure website, relying on our legitimate interests in doing so.

The public site has no enquiry or payment form. Trial bookings take place on the separate club booking service. WhatsApp, social media, the equipment shop and Google review links take you to other services with their own privacy information.

The contact page includes a Google map. Loading that page can send connection and browser information to Google. See Google's privacy information and Cloudflare's privacy information for their processing and retention details.

Optional PostHog analytics

Optional analytics runs only after you choose “Allow analytics”. It helps us understand which pages help people find a suitable class and open the trial booking page. The legal basis for this optional processing is your consent. Declining does not affect your use of the website.

The integration is configured to send public page paths, random browser and session identifiers, basic device and browser information, and selected actions: viewing classes, timetables or prices, opening the trial booking service, and clicking WhatsApp, phone or email links. Class categories describe the page viewed, not your age. A booking-page click does not tell us whether a booking was completed.

Where present, we keep public campaign tags (source, medium, campaign, content and term) and the referring website's domain to understand how people find the club. Campaign tags are filtered separately; full referring URLs, other query parameters and booking access tokens are not sent. We do not put personal details into campaign tags.

It does not record your screen, capture form entries, identify members, or send names, email addresses, phone numbers or messages. IP-based location enrichment is disabled. As with any web connection, the receiving service still handles connection information to receive the request.

Our selected provider is PostHog's EU-hosted service. See PostHog's privacy information for information about its services and handling of data. We do not use this integration for advertising profiles or automated decisions about students.

How long analytics information is kept

Analytics events are stored in our PostHog EU project. We have not verified a fixed automatic deletion deadline for this project. Events may remain in PostHog until deleted; we do not promise that they are automatically erased after a particular number of months.

PostHog's published plan windows and the dates shown in a report do not, by themselves, establish when stored events are deleted. See PostHog's event-retention information and its data-storage and deletion information.

You can contact the club about erasure using the details below. Withdrawing consent stops new collection, but it does not automatically erase previously received events. We may need your random browser identifier to locate those events.

Browser storage and your choice

The site remembers your allow or decline choice in browser local storage. If you allow analytics, PostHog also uses local storage for its random identifier. This storage does not have an automatic expiry and remains until it is cleared or removed.

With consent, filtered campaign information and a test-visit flag are kept in session storage so they can follow your activity within the same tab. They are cleared when you withdraw consent or end that tab's session.

You can change your choice using “Analytics preferences” in the footer. Declining will not stop you reading prices, viewing class times or booking a trial. Withdrawing permission stops new analytics events and removes this site's analytics identifiers from your browser; it does not automatically delete events already received by PostHog.

You can also clear site storage in your browser settings. The integration respects the browser's Do Not Track signal. Analytics is off on local and preview websites unless deliberately enabled for a consented test; those events are marked as test traffic.

Your rights and questions

Depending on the circumstances, you can ask to access, correct or erase personal information, restrict its use, object to processing, or receive a portable copy. You can withdraw consent for optional analytics without affecting the lawfulness of processing before withdrawal.

We may need enough information to find the relevant record, especially where analytics uses a random browser identifier rather than a name. Please contact the club with your question or request.

You can raise a concern with the Information Commissioner's Office, the UK's data protection regulator.
